Smart Daily Planner β€” Productivity Score & Time Allocation Calculator

How should you structure your day?

What This Does

Build your optimal daily schedule by allocating time to deep work, meetings, admin, exercise, family, and personal time β€” then get a productivity score that tells you how well-structured your day actually is. Most people plan their day around meetings and react to everything else. This calculator helps you design your day intentionally: starting with your waking hours, allocating your most cognitively demanding work first, and seeing how the remaining time divides between obligations and recovery. The productivity score weighs factors research consistently identifies as high-impact: deep work block length (2+ hours substantially outperforms fragmented work), meeting load (over 4 hours/day leaves almost no focused time), and buffer time to prevent over-scheduling. Research consistently shows that a single 3–4 hour uninterrupted block produces more cognitively demanding output than eight fragmented 30-minute windows. This calculator quantifies the cost of meeting overload and helps you protect focused time and make the case for blocking mornings before calendar invites fill them.

When Should You Use This?
  • β†’Designing a new daily routine and checking whether it's realistic and balanced
  • β†’Diagnosing why you feel busy but unproductive β€” the schedule may reveal too little deep work
  • β†’Evaluating preset schedules (entrepreneur, executive, student) as starting points
  • β†’Communicating your availability to a team or manager by visualizing your ideal structure
  • β†’Building a morning or evening routine into a full-day schedule
Example Scenario

You're a remote worker who feels exhausted but not productive. Enter your typical schedule: wake at 7:30am, sleep at 11pm, 2h deep work, 4h meetings, 1.5h admin, 30min exercise. The calculator shows a 35/100 productivity score with warnings: deep work is under target and meeting load is draining your capacity. It suggests protecting 3h of focused morning work before accepting any meetings.

About This Calculator

This smart daily planner calculator computes a productivity score and generates a time-blocked schedule in real time from 8 inputs: wake time, sleep time, and 6 activity block durations (deep work, meetings, admin, exercise, family/social, personal). Available hours = sleepTime βˆ’ wakeTime. Score = 50 base + deep work points (up to +25) + meeting points (up to +10, penalty -15) + exercise (+5/+10) + admin points (Β±5) + buffer points (+5/-15) + ratio bonus (+5 if DW/meetings β‰₯ 2). Schedule builds sequentially from wake time: morning routine (0.75hr always first) then each block in order. Buffer block added if unallocated β‰₯ 0.25hr. All 8 inputs update in real time via useEffect.

The Schedule tab shows a text-based block schedule with colored left borders and a visual proportional timeline bar. The Allocation tab renders a donut PieChart of all blocks (7-8 segments with distinct hex colors per block type) with side legend showing block name/% of day/hr, plus proportional progress bars. The Scenarios tab renders a BarChart of productivity scores for 5 deep work/meeting configurations (4hr DW/1hr Mtg through 1hr DW/6hr Mtg, each bar colored by its score tier, current highlighted, ReferenceLine at current score and at 80) plus 5 evidence-based time-blocking principles. The Insights tab shows 4 key insights (schedule summary, deep work effectiveness, meeting load analysis, optimization path) and 4 conditional action plan items.
